JOB OPPORTUNITY - COMMUNICATIONS COORDINATOR

DEFINITION

Reporting to the Manager of Administrative Services, the Communications Coordinator (CC) is responsible for maintaining timely and relevant public communications regarding Village operations and special projects.  As a member of the Administrative Department, the CC provides administrative and creative support to the Administrator, Manager of Administrative Services and other Village Departments as assigned.  Duties include the following:

CLERICAL

  • Assists with all aspects of the formulation of grant applications, including but not limited to, drafting applications, interim and final reports and follow up as required
  • Drafts and edits a variety of non-routine letters and related correspondence, minutes, reports pertaining to various municipal matters for the Manager of Administrative Services or the Administrator's signature or approval
  • Assists with researching and drafting Bylaws as required

WEBSITE

  • Maintains and enhances all aspects of the Village of Pemberton Web Site (www.pemberton.ca), ensuring that the public has timely and accurate access to Village information
  • Research and drafting of content
  • Research and coordination of ongoing website improvements

COMMUNICATIONS

  • Creates and coordinates all newspaper advertising or notices on behalf of the Village
  • Creates and distributes the Village's E-News (electronic newsletter) prior to each regular meeting of Council, approximately twice a month
  • Receives and responds to all general Village email enquiries through the admin @ pemberton.ca address.
  • Develops and designs pamphlets, brochures and information panels for Village programs, workshops and events as necessary (Property or Utility Taxes, Town Hall meetings, OCP Workshops or roundtables, special initiatives, etc.)
  • Designs magnets for the following: Council Schedule (January); Water Regulations (May); Emergency Numbers (as needed); Recycling Centre Hours (as needed); and other programs as determined.  Coordinates distribution of magnets with utility and tax notice mail-outs
  • Coordinates and approves all signage and use of Village logo

ONGOING PROJECTS

  • Village Banner Program: coordinate, publicize, accept submissions and facilitate the selection and creation of streetlight banners twice yearly.  Accept and facilitate applications for the Gateway Banner as received
  • Village Bursary Program: coordinate, publicize, accept submissions and facilitate candidate selection under the Village Bursary Program annually
  • Town Hall Meetings/AGM
  • Arts Council Public Art Project Liason
  • Village Banner Program: coordinate, publicize, accept submissions and facilitate the selection and creation of streetlight banners twice yearly.  Accept and facilitate applications for the Gateway Banner as received

OTHER DUTIES

Assists with special projects including but not limited to:

  • 2009 OCP Review Process: record public and Community/Stakeholder comments/questionnaires, arrange and facilitate meetings and compile the draft document.  Format the final document to incorporate images, photos and other visual enhancements in a manner that makes it user and website friendly
  • Updating Employee Handbook
  • Updating Policy and Procedures Manual
  • Logo contest, banners, signage as assigned
  • Conferences, workshops, forums and focus groups
  • Community celebrations (special events)
  • Provides back up reception in the event of holidays, illness or absence of Receptionist or Development Services Assistant as required to ensure the smooth operation of the office
  • Additional duties as assigned

KNOWLEDGE, SKILLS & ABILITIES

  • Must work effectively as a team, being reectful of all others and pitching in when and where needed
  • Ability and interest to take initiative and work independently
  • Outgoing, pleasant, professional and helpful
  • Excellent knowledge of business English, spelling and punctuation
  • Considerable knowledge of the organization functions and activities of various municipal departments
  • Considerable knowledge of modern office practices and procedures
  • Ability to interpret rules, regulations and policies and to make decisions based upon them
  • Ability to compose letters and reports relative to departmental policies and procedures
  • Ability to meet and deal tactfully and effectively with persons representing professional, public and community groups in providing a wide variety of municipal information
  • Working knowledge of personal computers and computer based applications
  • Ability to establish and maintain effective working relationships with supervisors, municipal officials, other employees and the general public
  • Discrete with ability to maintain a high level of confidentiality

REQUIREMENTS

  • Post secondary education in communications, public relations, marketing or related field
  • Graphic arts and/or design certification/experience
  • Two years experience in a secretarial or administrative position
  • Availability to attend occasional evening meetings or weekend events as required
  • Career oriented and mature
  • Knowledge of Local Government an asset
